Why use Cazmate?

Cazmate is the solution for managing your holiday home or family home centrally, securely and simply. Whether your property is jointly owned, managed via a real estate investment company or has no particular legal form, it’s important to ensure complete management on all levels: financial, maintenance, organizational, etc. From now on, you’ll be spared the need to exchange e-mails, messages or phone calls, all of which lead to a loss of traceability and transparency. Every action carried out on Cazmate (requesting occupancy, adding an expense or making a document available, etc.) is recorded and accessible to all members of your property.

How does it work?

Cazmate is a web and mobile application (available on the iOS and Android stores) that helps you simply master the management of your second home, family home or other shared accommodation. When you arrive at the Cazmate app, create your account and follow the instructions to add your first housing. Cazmate can be used on both mobiles and computers, ensuring that your space is always in sync.

Can I use Cazmate without creating an account?

No, you need to create an account. We need it for several reasons:

  • Securing your home data
  • You can keep control of access to your home by overseeing all the accounts associated with it, with the possibility of moderation (change of role or deletion of a member).

Can I use Cazmate without installing the application?

Cazmate can be used directly in your browser on your computer or on the mobile application.

How do I contact customer service?

Customer service is available on working days from 9am to 7pm by instant chat on all pages of the website(cazmate.com) and on the web(app.cazmate.com) & mobile application in the “Support” section.

How does it work?

As a registered member of Cazmate, you can now sponsor new users. This action will earn you points which you can then convert into gift cards. To sponsor a new user, follow the steps below:

  • Click on “Profile” then “Referral program”.
  • Click on “Share my referral code” or pass on your “referral code” to your sponsored friends

Once your referral is complete, you will earn the following points:

  • 1 point: for each referral creating an account (onboarding completed) and up to the first 40 referrals.
  • 70 points : for each referral who takes out a monthly subscription
  • 600 points: for each referral who takes out an annual subscription

Your loyalty points will accumulate and you can convert them into gift cards at different levels.

How do I convert my loyalty points into a gift card?

To convert your loyalty points into a gift card, go to the “Your referrals” section. Then click on “Convert” to exchange your loyalty points for a gift card. Important Only points actually accumulated can be converted into a gift card. Please note that all conversion requests are irreversible. You will not be able to recover your points once the request has been sent.

How soon will my gift card be sent?

Your gift card will be sent by e-mail within 14 working days.

How long are my loyalty points valid for?

Loyalty points are valid for 12 months from the date they are earned. At the end of the 12 months, the points will be deleted and can no longer be converted into a gift card.

How do I create a home?

You will be asked to create your first home as soon as you have registered.

To add additional homes, go to the home page with the list of your homes (by clicking on the Cazmate logo), then click on “+”.
Alternatively, you can also create a home via the “Menu” by clicking on “New home”.

For the rest, let yourself be guided by the creation steps and fill in all the information requested for optimal use.

Do I have to be a homeowner to create a home on Cazmate?

You are free to create your home space on Cazmate even if you are not the owner. We will not ask you for any proof of ownership.
However, we recommend that you ask for the owner’s prior agreement to avoid any risk of dispute later on.

Can an occupant pay for his stay on Cazmate?

No, Cazmate does not offer a payment system for booking stays.

A financial consideration can be set per night by the administrators, however no transaction will be made on Cazmate.

Cazmate aims to simplify the management of a second home or a family home, but does not aim to replace property rental platforms.

How can I share access to my housing space?

There are 2 ways to share access to your home page:

1. Share an invitation link : on the home page, click on “Access link”.

Then copy the invitation link according to the chosen role (more on roles in the FAQ).

Important : You can deactivate the access link to your home at any time.

2. Send invitation by e-mail: go to your home page then “Member” and click on “Invite a user”.

The invited person will receive an e-mail with an invitation link to access your home space.

How can I be notified of activity in my home?

When you have the “Administrator” role, you will receive an e-mail and a notification in your space for every action carried out by another member of the dwelling.

Don’t miss any more important information – a reservation, a quote or an added expense – you’ll know everything in real time.

How do I delete my home?

Only the administrator who created the apartment on Cazmate has the right to delete it.

To delete an apartment, go to its page and click on the “Delete” button in the “Settings” tab.

Deleting your apartment is irreversible and entails the loss of all data and information linked to the apartment.

The administrator role

The “Administrator” role is assigned by default to the creator of the home on Cazmate. More generally, it is intended for all owners of the property. The administrator can consult and modify all information, data and actions relating to the home:
– Home creation and deletion;
– Subscription management;
– Member and guest management;
– Access to member and guest personal data (at least e-mail address and telephone number);
– Access to all home data.

The member role

A “Member” is added by an administrator who has expressly given him this role when inviting him.
The status of “Member” gives access to all information and data in the accommodation area, but does not allow the following actions:

– Invite to join the accommodation;
– Manage the members of the accommodation;
– Modify the information of the accommodation;
– Delete the accommodation;
– Cancel the subscription.

The member can leave the home at any time via the home page, then “Members” and click on “Leave home”.

The guest role

The guest is added by an administrator who has expressly given him this role at the time of invitation.

He has access to all public information about the accommodation:
– Accommodation information (telephone and wifi after validation of the first reservation);
– Availability of the accommodation through the shared calendar (no access to details of existing reservations);
– Inventory;
– Emergency contacts.

The guest can leave the accommodation at any time via the accommodation page, then “Members” and click on “Leave accommodation”.

Secondary roles

The purpose of the secondary roles is to appoint a manager for each division:

  • Calendar: responsible for reservations and events
    • Scope: moderation
  • Finance: finance manager
    • Scope of action: cash flow, cost containment and night rate management
  • Duties: responsible for maintenance tasks
    • Action fields: modifying and managing categories

Conditions:

  • Only members and directors can be assigned a secondary role.
  • When a secondary role is assigned, it takes precedence over the primary role.
    Ex: An administrator who has given the “Calendar” role to another member or administrator will no longer be able to moderate reservations.

Shared calendar for optimum organization

What for?

The shared calendar enables anyone with access to the accommodation area to view availabilities and make reservations.
At the same time, it can be used as a reminder so you never forget an occupant’s presence at a given period.

What to do?

Simply select a day in the calendar or click on “New event”. The booked stay will be indicated as such in the calendar.

The benefits of a shared calendar

  • Moderate reservation requests : “Approve” or “Refuse” each reservation request by adding a comment.
  • Define an overnight stay cost : Set the financial consideration for an overnight stay in your accommodation, per person or for the accommodation (no transactions are made on Cazmate).
  • Connect to Airbnb calendar : If your property is rented out on Airbnb, the dates when it is available for rent will automatically be blocked on Cazmate, and vice versa. Dates booked on Cazmate will also be marked as unavailable on Airbnb.

Inventory: no surprises on arrival

What for?

The inventory enables the last occupant to draw up a list of all the consumables remaining in the home. This way, you can avoid double (or even triple) purchases, and anticipate your arrival in the best possible way.

What to do?

Go to the “Inventory” page, search for the product in the search bar, add it and you’re done.

The advantages of inventory

  • Download the list : Even if the inventory remains available on Cazmate, keep a record of it, in case of Internet problems for example.
  • Add product to favorites
  • Scan products (coming soon) : Scan barcodes directly with the Cazmate application and add them in 1 click to the inventory list.

Shopping lists, plan what you need for your stay

What for?

The shopping list will complete the organization of your stay, without leaving Cazmate. This list can be shared by all members of the household, or personal and visible only to the people you share it with.

What to do?

Shared shopping list: select “Shopping” on your home page and add products to your list. Personal shopping list: select “Your shopping lists” then choose the associated home and add the products to your list.
You can keep this personal list or share it with the people of your choice, with a unique access link.

The advantages of the shopping list

  • A more precise list with the option of specifying quantities and the associated unit.
  • Share your personal list with everyone who has the access link.
  • Use your list when you shop, and check off each product when it’s in your basket.

Track your finances, control your budget with complete transparency

What for?

Good management, whatever the subject, is most often based on good financial management. Keeping track of expenses and income in a shared property not only keeps you alert to the day-to-day management of your accounts, but also enables you to share costs fairly. You’ve probably heard the saying “good accounts make good friends”, but with Cazmate “good accounts make good managers”. Note: Only administrators can add an expense or income, as they are the financial guarantors and managers of the accommodation.
However, members can make a “request for reimbursement”, which will be effectively taken into account once an admin or finance manager has validated the request.

What to do?

On the housing page, in the “Finances” section, you’ll find debits and credits in the same way as on your bank account, with the wording as the line heading. Add a transaction by selecting “New expense” or “New income” depending on the nature of the transaction. Then fill in the fields to help you understand the transaction you’ve created.

Keeping track of maintenance tasks, the key to a well-maintained home

What for?

If you’re planning to renovate, build a swimming pool or simply repaint the shutters, you’ll not only have to manage several parameters (budget, priority, etc.) but also share all these elements with all the home’s administrators. Find all the tasks created by the administrators, synchronized in real time, and don’t miss out on those assigned to you.

What to do?

You can manage your work via the “Tasks” tab in your home page. You’ll find a list of all your tasks, with their status, priority and associated information (budget, quotes if necessary, etc.). To add a new task, select “New task”. For optimum management of the tasks you create, please fill in as many of the fields as possible in the creation window.

The benefits of Cazmate maintenance task tracking

  • Add documents : quotes, invoices and receipts will be centralized on Cazmate. Everyone will have access to them, except guests.
  • Assigning people : assigning a person to each task maximizes productivity.
  • Voluntary assignment: an occupant (not a guest) can sign up for the task by volunteering.
  • Track status : no more surprises when you arrive, you’ll know in advance what’s been done or not.
  • Create categories : for optimum organization, create task categories. For example, if you’re planning to build a swimming pool, create the category “swimming pool” and group all the proposals under this category – it’s clear and precise.

Notes: share important information

What for?

The notes are the common thread between homeowners and occupants. They make it possible to avoid leaving behind a paper folder with leaflets, user guides and other paper notes. Here are a few ideas to share:

  • User manuals for home equipment (appliances, air conditioning/heating, fireplace, swimming pool, lawnmower, etc.)
  • Instructions for specific tasks (garbage room, recycling, etc.)
  • Good addresses to share (restaurants, outings, activities, etc.)
  • Information reminder (bus timetables, tides, etc.)

What to do?

Go to “Notes” and select “New note”.
You can create a category to classify your notes, or add a note on its own.
Next, write your note and add a file if necessary (pdf, image format, etc.). Please note Don’t forget to PUBLISH the note, otherwise it will remain in drafts.

The advantages of Cazmate notes

  • Adding files : attaching a file makes it easier to understand and share information.
  • Sort by category : for quick access to the information/document you need.
  • High-quality editing : add headings and create the layout you want. Creating notes is not synonymous with poor presentation.

Occupancy, make the most of your home

What for?

The occupancy feature enables administrators to know exactly how many days each member (whatever their role) has spent in the property. Some properties are managed on an undivided basis, others on an SCI basis, so it is necessary to divide the time spent in the property over the course of the year. Over and above these purely legal and practical aspects, this allows you to have a summary of attendance stored online.

What to do?

It couldn’t be simpler: you don’t have to do a thing, just consult the page. Each reservation is automatically added and calculated:

  • Number of days present
  • Occupancy charges (according to the defined cost per night)

  • Automated occupancy report : no need to get out your calculator and calendar, Cazmate does it for you.
  • Reservation history : find out how many reservations have been made for each occupant.
  • Filter by occupant or overall : consult the occupancy rate per person or the overall occupancy of your home over the year.

The contact book, your shared directory

What for?

The “contact book” lets you share key contacts with all occupants. For example, the contact details of the person who holds the spare keys near the house, in case you forget your keyring, or those of the gardener who can mow the lawn before you arrive. What’s more, you can assign an emergency contact, available to all in the event of a major problem.

What to do?

Go to the “Contact book” page and select “Add”. Fill in at least the fields marked with an “*”. It’s advisable to fill in all the fields to maximize the efficiency of your contact with the person you want.

  • Emergency contact : the only contact visible to “Guests”. It provides the main point of contact in the event of an emergency.
  • 1-click contact : whether by e-mail or telephone, one click is all it takes to write an e-mail or launch a telephone call (on the mobile application).

Members, manage your circle properly

What for?

Cazmate not only simplifies the management of second homes, but also makes it easy to share them with family, friends and acquaintances. The circle of guests can therefore expand rapidly. It’s important for owners to know exactly which members have access to information about their property. Best practice : We recommend that you regularly check the list of members who have access to your home.

What to do?

Go to the member area of your home. As administrator, you’ll find all the members of your home. You will also be able to modify the associated “roles” or remove members of your choice from your home. As a guest, you won’t have access to the complete list. Their only option is to leave the home via this page.

  • Member moderation : because your second home or family home deserves to be in good hands, revoke access to unwanted members.
  • Role management : keep control of the information shared about your home, assigning the “guest” role to share only the bare minimum.

Instructions for opening and closing your home

What for?

When you move into your second home, a few preparations are essential to get your daily chores moving again: restarting the electricity meter, turning on the gas, water, etc.
These same tasks are repeated when it’s time to close up the property, while waiting for the next occupant. A clear and precise list of each task to be carried out is therefore essential to ensure that nothing is forgotten. Indeed, certain oversights (electricity, for example) can add to the bill at the end of the year. With Cazmate’s “instructions”, you only have to draw up these lists of tasks once: instructions for opening and closing the accommodation, swimming pool… At the start and end of each booking, the instructions are displayed for the occupant who has booked, who can then use the checklist to carry out the various tasks.

What to do?

To create opening and closing setpoints, go to the “Setpoints” function. To create a setpoint, click on “+” and give it a name. E.g.: Home opening.
Next, open the setpoint to add as many tasks as required by clicking on “+”. E.g.: open water supply, collect mail, open gas supply, start water heater… Follow the same procedure for home closing instructions.

The advantages of arrival and departure instructions

Create processes once: Instructions are automatically displayed at the beginning and end of each reservation for your occupants. Checklist to make sure you don’t forget: occupants can “check” each task to make sure it has been done. Archive and update: If you wish to update an instruction, you can archive the old one for future reference.

How many homes can I create per subscription?

1 subscription = 1 home. A subscription is therefore required for each new home. If you wish to add an additional home to Cazmate, you will need to take out a new subscription.

How many people can share a subscription?

There’s no limit to the number of people you can invite to your home.

How is my subscription billed?

All billing is handled by our trusted partner: Stripe.

Direct debits will be processed within 48 hours of validation of your subscription and will appear on your bank statement under the name “Cazmate”.

How do I cancel a subscription?

You can cancel a subscription at any time from your account, in the “subscriptions” section. The redirection to the site of our payment service provider, Stripe, will enable you to manage all your subscriptions linked to your account, and to cancel them if you wish. It is important to note that cancellation must be made at least 5 calendar days before the end of the term(Article 12, GCU). In the event of failure to comply with these notification deadlines, the subscription will be renewed as stipulated inArticle 11 of the GCU.
